Job Title: Assistant Office Manager

Reports To: General Manager

Summary: 

Join the Sun Valley team as our Assistant Manager for an exciting and rewarding summer! In this role, you'll be the friendly face of the pool, interacting with members, managing operations, and contributing to a vibrant and enjoyable pool experience. The Assistant Manager is responsible for enforcing the pool's rules and regulations, managing the lifeguards on duty, and ensuring the safety of all swimmers. This is a seasonal position for approximately 12 weeks during the summer months.

Essential Duties and Responsibilities:

​

  • Office Operations:

    • Review timecards and manage payroll efficiently using the provided platform (Paychex Flex).

    • Create and maintain lifeguard schedules.

    • Utilize the MailChimp platform to create and send engaging email communications to membership.

    • Post Updates & Weather Cancellations to homepage/blog (Wix)
       

  • Update and maintain the pool website (Wix) and schedules (Acuity Scheduling)
     

  • Programs:

    • Create online sign-up forms for group swim lessons, swim team, group tennis clinics/lessons, cardio tennis, tennis tournaments

    • Collect payments and prepare registration/attendance lists for instructors
       

  • Events:

    • Plan and execute exciting pool events, including:

      • 4th of July Games

      • Kids Night

      • Teen Night

      • Adult Night

      • Family Night(s)

      • Labor Day Games

    • Manage event marketing, email communications, sign-ups, and payment processing.

    • Ensure adequate staffing for all events, assigning duties to lifeguards in collaboration with the Assistant Pool Manager.

    • Purchase/pickup supplies as needed.
       

  • Member Relations & Operations:

    • Be a welcoming presence at the pool, interacting with members and addressing their questions, concerns, or suggestions.

    • Maintain a strong on-site presence at the facility.

    • Assist with pool operations, such as opening and closing the pool, and checking in guests, safety/cleanliness checks in locker rooms
       

Schedule/Hours:

  • 20-30 hours per week, including some evenings and one weekend day.

  • Coordinate time off and vacations with the Assistant Pool Manager to ensure consistent managerial coverage.

  • This is an on-site position and it is expected the Assistant Office Manager will be available to work at Sun Valley for the majority of the summer.

  • Time-off must be requested at least 2 weeks in advance and is not to exceed a total of 10 days during the summer season.
     

Qualifications:

  • At least 21 years of age.

  • Current CPR/AED certifications are required (must be completed prior to start date and can be done at Sun Valley if needed).

  • Lifeguard certification or prior lifeguarding experience is a plus, but not required.

  • Excellent leadership and communication skills.

  • Ability to work independently and effectively as part of a team.

  • Calm and professional demeanor when handling challenging situations.

Sun Valley is a beloved neighborhood pool and tennis club in Lexington, MA, with a rich history dating back to the 1950s. Our facilities include a large pool with lap lanes, a deep end, and a shallow area perfect for young children. We also boast recently renovated tennis courts, a basketball court, and a family-run snack bar. We take pride in fostering a relaxed and enjoyable atmosphere for our members, hosting a variety of events throughout the season, including swim meets with our competitive swim team.
